freeaichat.bot ("freeaichat.bot," "we," "us") helps small businesses add a friendly AI chatbot to their website. This policy explains what information we handle, why, and the choices you have. We've written it in plain English on purpose.

Two kinds of data (this matters)

freeaichat.bot handles two separate types of information:

1. Your data - information about you, the business owner who signs up. For this, freeaichat.bot is the data controller.
2. Your visitors' data - the messages, names, and contact details freeaichat.bot captures from people who chat on your website. For this, you are the data controller and freeaichat.bot acts as your processor - we only handle it to provide the service to you, on your instructions. You're responsible for telling your own visitors how their data is used (your own privacy notice) and for having a lawful basis to collect it.

What we collect

Information you give us

• Account details such as your name, email address, password, business name, and website address.
• Anything you send us, such as support messages and feedback.

Information freeaichat.bot captures on your behalf (your visitors' data)

• Chat messages between your visitors and the bot.
• Contact details your visitors choose to share, such as their name and email.
• Basic context about the conversation, such as the page it happened on and the time.

Information collected automatically

• Technical and usage data such as IP address, browser and device type, and log data, collected when you use freeaichat.bot.

How we use information

• To provide and operate freeaichat.bot - running the chatbot and capturing and storing your leads.
• To set up and secure your account.
• To respond to your support requests.
• To maintain, troubleshoot, and improve the service.
• To send you essential service messages, and - only with your consent - occasional product updates you can opt out of at any time.

We use your visitors' data only to provide the service to you, not for our own purposes.

Legal bases (for EU/UK users)

Where the law requires a legal basis, we rely on: performing our contract with you, our legitimate interests in running and improving freeaichat.bot, your consent where needed, and our legal obligations.

Who we share data with

We share data only with service providers who help us run freeaichat.bot - such as our AI and hosting providers - and only under contract. We may also disclose data if the law requires it or to protect rights and safety. If freeaichat.bot is ever involved in a merger or acquisition, data may transfer as part of that, and we'll let you know.

We do not sell your data or your visitors' data, and we don't share it for other companies' advertising.

Where data is processed

We may process data in countries other than your own. Where we do, we take steps to keep it protected to the standard described in this policy.

How long we keep data

We keep your account data for as long as your account is active. You can delete leads, conversations, or your whole account at any time. After your account is closed, we delete your data, except where we need to keep limited records to meet a legal obligation.

We use reasonable technical and organisational measures to protect data, such as encryption in transit and restricted access to systems. No system is perfectly secure, but we take this seriously.

Your choices and rights

Depending on where you live, you may have the right to access, correct, delete, export, or restrict the use of your data, and to object to certain processing or withdraw consent. To exercise any of these, email privacy@freeaichat.bot. We won't charge you for this or treat you differently for asking.

Your visitors' rights: because you're the controller of your visitors' data, requests from your visitors usually come to you. We'll help you respond and will action deletion or export on your instruction.

Your responsibilities as a freeaichat.bot user

• Tell your own website visitors how their data is collected and used (your own privacy notice).
• Get any consent the law requires before capturing visitor data.
• Only use freeaichat.bot to collect data you're allowed to collect.

Cookies

Our website and chat widget use essential cookies and similar technologies needed to make them work - for example, to keep a chat session running. We don't use them to track you across other websites.

Children

freeaichat.bot isn't intended for children. We don't knowingly collect data from anyone under 16.

Changes to this policy

We may update this policy from time to time. If we make material changes, we'll let you know - for example, by email or an in-app notice. The "last updated" date above shows the latest version.
